Position Summary

The Administrative Assistant is responsible to provide service to attorneys, court related departments, the general public and self -represented litigants. Perform other clerical duties as assigned.

Essential Duties and Responsibilities

  • Answer phones, process filings and provide prompt, courteous and professional service at front filing counter
  • Clock-in, record motion/petitions filed, deliver petitions/motions to Chambers
  • Provides procedural advice and appropriate forms to attorneys, self-represented litigants and general public
  • Processes juror questionnaires and excuses jurors
  • Maintains and submits appropriate Jury Usage reports to AOPC using JMS
  • Provides administrative support for Jury Management
  • Purchasing and Archiving
  • Service copies of all orders to parties as directed (Various Court-Related Offices, Defense Attorney, District Justices, Self-Represented Litigants)
  • Schedule calendar data into web-based statewide Common Pleas Case Management System (CPCMS).
  • Maintain schedule of resource conference rooms in Outlook
  • Correspond with Common Pleas Judges and chambers staff
  • Image documents, maintain records and file paperwork
  • Clock, sort and process incoming mail
  • PC knowledge including Microsoft Office products and general office machines
  • Knowledge of court procedures and terminology for all case types (Criminal, Civil, Family,  Juvenile, Summary License Suspension Appeal, PFA, ICC)
  • Proficiency required in the following court-related programs and processes as required by immediate supervisor
    • CPCMS (Common Pleas Case Management System)
    • MDJS  (Magisterial District Justice System)
    • Attorney Conflict Program
    • JMS (Jury Management System)
    • County Suite (Prothonotary System)
    • Access Motions Tracker
    • Laserfiche
    • Missile
    • Vinelink
    • SCI Video Scheduling
    • Prison Data base

Other reasonable duties as assigned by a supervisor

Essential Requirements

Three or more years of administrative office experience or any equivalent combination of training experience, which provides the knowledge, skills and abilities necessary to perform the duties of the position.
